Participant Image Use Policy


By attending State Youth Games (SYG), an event run by Youth Vision Vic/Tas (YV) the generational ministry arm of Churches of Christ in Victoria and Tasmania Inc (CCVT), participants agree that:

  1. SYG’s official photography and video team and team members may take photos and videos of SYG participants without consultation, within the active areas of the event, for the purposes of event highlights and promotion as outlined below.
    1. SYG media team members will display lanyards or another for of identification designating them as part of the media team at all times during the execution of their work.
    2. Participants may approach SYG’s official media team directly during events and request that their image not be taken. SYG’s official media team will attempt to accommodate such requests within their capacity.
      1. SYG’s official media team may not be able to exclude individual participants from large group shots in situations such as the evening rallies and crowded sporting sessions. In these cases, participants agree to be pictured as part of the crowd but not singled out in close up photography or video.
  2. The images taken of participants taken within the event may be used without consultation in daily highlight reels.
    1. Highlight reels will be shown during evening rallies at SYG and visible to all participants.
    2. Highlight reels will be uploaded to video hosting websites such as Vimeo and YouTube under Youth Vision Vic/Tas pages and from there will be publicly available on the internet.
      1. Highlight reels may also be uploaded to the official Vimeo and/or YouTube pages of SYG’s official media team.
    3. Highlight reels will be shared on official CCVT and SYG social media outlets including but not limited to Facebook, Twitter, and Instagram as applicable.
      1. Once posted on social media, images and videos can be shared by users of social media without SYG’s permission. Such sharing and use is out of SYG’s control and SYG and CCVT will not be held responsible for the proliferation of social media sharing of a participant’s image.
  3. The images of participants taken within the event may be used without consultation on official SYG and CCVT websites.
    1. Websites include but are not limited to:
      1. StateYouthGames.com/Vic
      2. ChurchesofChrist.org.au
      3. The websites of CCVT partners and departments, in consultation with the SYG team.
  4. The images of participants taken within the event may be used without consultation as part of SYG’s social media presence.
    1. Daily highlight photos may be uploaded to official SYG and CCVT social media pages including but not limited to Facebook, Twitter, and Instagram.
      1. Photos may be downloaded and shared by non-SYG affiliated individuals based on the functions and policies of the specific social media platform. Such sharing and use is out of SYG’s control and SYG and CCVT will not be held responsible for the proliferation of social media sharing of a participant’s image.
    2. SYG and CCVT will take no responsibility for the identification of a participant by name by a non-SYG team member on social media
  5. The images of participants taken within the event may be used without consultation by SYG as part of branding, advertising, and/or visual theming for the current and future SYG events.
    1. Participants’ images may be provided to a designer as part of the process of creating an annual visual theme or advertising collateral.
    2. Advertising collateral may be printed and distributed publically to churches, organisations, or individuals connected to SYG as participants or supporters, and to churches, organisations, or individuals who may not have had previous connection with SYG.
    3. Advertising collateral may be used digitally on official SYG and CCVT websites, social media outlets, and other digital platforms.
  6. Participants will not be named or deliberately identified beyond the use of their image in official SYG videos, images, or publications.
    1. In the event that SYG wishes to identify a participant by name, express written permission will be sought from the participant, and participant’s parent/guardian if the participant is under 18 years of age.
    2. SYG and CCVT will take no responsibility for the identification of a participant by name by a non-SYG team member on social media or in a non-SYG-affiliated publication.
  7. The images of participants taken within the event may be provided to news and magazine publishers who are running a story on SYG or CCVT.
    1. All use of participants’ images by organisations other than SYG and CCVT (3rd Parties) will be strictly controlled.
    2. Participants will not be identified by name in a 3rd Party publication without the express written consent of the participant or the participant’s parent/guardian if the participant is under 18 years of age.
ALL USE OF PARTICIPANTS’ IMAGES WILL BE MONITORED AND CONTROLLED BY THE SYG AND CCVT TEAM(S) TO ENSURE THE REASONABLE PROTECTION OF ALL PARTICIPANTS’ PRIVACY AND HEALTH. PARTICIPANTS’ IMAGES WILL ONLY EVER BE USED FOR OFFICIAL SYG AND CCVT PURPOSES. WE VALUE YOUR PRIVACY AND TAKE THE USE OF YOUR IMAGE VERY SERIOUSLY.
